Capabilities and practical guides

Organize your own events in Arena, manage private access and download useful files. Each guide explains the steps and the limits of the tool.

Event preparation

Organizer workspace

Keep track of preparations and deadlines for your own events in one place. The agenda prioritises deadlines and actions across loaded events. Dates use the device time zone; load the remaining pages for the full list.

What can I do in the organizer workspace?
  1. Sign in through Telegram and choose your event.
  2. Check the deadlines and readiness guidance.
  3. For a similar event, reuse the settings, review the fields and set new dates.
  4. Start with overdue and upcoming agenda items; expand the remaining items and load the next event page when needed.

Before you startOnly settings are reused, not people or results; readiness guidance does not grant clearance. The agenda and device clock do not change a phase or server deadline. The overview covers loaded events only; local offsets may change with daylight saving time.

Event preparation

Event team and private access

Give a chosen person limited access to preparations for one event.

How do I give my team access?
  1. In the organizer workspace, choose your event and open its team.
  2. Enter the recipient’s Telegram ID and choose a role.
  3. Ask the recipient to sign in through Telegram and accept the invitation.

Before you startPersonal invitations expire and can be revoked; a role neither grants access to judging nor certifies qualifications.

Files and results

CSV, JSON and calendar

Save details of your own events for a spreadsheet or calendar.

How do I download my event list and calendar?
  1. Sign in through Telegram and open the organizer workspace.
  2. Download CSV or JSON, or choose ICS for your calendar.
  3. After dates change, download ICS again and check the imported entries.

Before you startCSV/JSON includes up to 1000 of your own events, without participant details, photos, videos or scores; ICS is a file, not automatic calendar updates.

Work out rules and categories in advance in a private plan.

How do I plan a future event?

  2. Add rules and choose a discipline and level for each category.
  3. Review everything before saving: the saved plan cannot be changed.

Before you startPlans cannot be published or accept participant entries or work uploads, and do not permit procedures on people.

How do I collect applications by nomination?
  1. Set nominations, places and deadlines.

Files and results

Save an event’s results

A completed event has a public report of saved rounds, places and scores, with team context and links to existing awards.

How do I share results and keep a summary?
  1. Open a completed event in Arena, go to “Results” and open its report.
  2. Find the relevant round: read its saved places and scores with the team context, not as a new overall ranking.
  3. Download CSV or JSON, or choose “Print”. For a PDF, use your browser’s “Save as PDF”.
  4. Follow the existing award links. Compare SHA-256 only as a current-data fingerprint: language and generation time are excluded; record changes can change the hash.

Before you startGuests can read the report and its public names. It is not a signed or versioned protocol and offers no appeal, revocation, new award or rating recalculation. SHA-256 is not a digital signature.

Event brand and public contact

A separate block for a name, description and chosen external links. Your private profile is not used for autofill.

How do I introduce the organizer on an event page?
  1. Open management for your event and load the saved details.
  2. Write a public name yourself; optionally add a description, HTTPS website and public contact.
  3. If publishing is allowed, explicitly tick public display and save. Without the tick, details are saved privately.
  4. Use “Hide saved publication” to remove the saved public block. Edits in the fields are not submitted.

Before you startPrivate plans cannot be published. Author-supplied details are not organizer verification or professional approval. You can hide the block later, but external cached or copied pages are not retracted.

Prepare a rubric plan

A local editor for setting out a proposal. It does not simulate scoring or publish rules.

How do I prepare criteria for discussion with specialists?
  1. Open the local rubric planner.
  2. Enter a title, version and 1–12 criteria with maxima and weights. Write penalty and tie-break rules yourself, including when none apply, and choose proposed rounding.
  3. Check that weights total 100% and review the draft preview. Export and printing unlock only when all required fields are valid.
  4. Before leaving or refreshing, download JSON/CSV or print the draft for specialists to discuss.

Before you startNo event or account binding, professional approval, or changes to the current 3 × 10 format or results. Input lives only in browser memory and is lost on refresh or navigation; download a file first.

Nomination championship

A separate practice-latex championship with nominations, approved criteria, blind judging and verifiable awards. Owners check stage readiness and download awards in PDF parts. Organizers and chief judges see outstanding required evaluations.

From preparation to a verifiable result
  1. Create a draft and nominations.
  2. Prepare regulations and rubrics; invite a chief judge through Team.
  3. Obtain approvals and publish.
  4. Review applications and separately admit entrants.
  5. Collect and review works, then fix the panel.
  6. Collect every score, publish a preliminary result and resolve appeals.
  7. Issue the official protocol and awards.
  8. In Overview, refresh readiness before opening submissions or judging. Check deadlines, applications, admissions, the jury and works. Follow links to the relevant sections; the server checks the conditions again when you act.
  9. Open Overview or Protocols and refresh the summary. Check outstanding evaluations by nomination and judge, then resolve the listed blockers before issuing a result.
  10. In Awards, the owner downloads the current official protocol’s PDF, up to 8 awards per part. Each next part starts manually. If the version or status changes, refresh the event and start again; the QR checks the live record.

Before you startOne round, up to 12 nominations and 64 places. Free participation. No procedures on people. Version approval records an account decision. It does not certify professional qualifications or authorize procedures. An unsubmitted application is visible only to its author. Public protocols exclude contacts and private review reasons. Only submitted applications and works from admitted entrants count. Private drafts and unsubmitted photos remain private. Only submitted evaluations count. Scores, comments and private drafts are not disclosed here. The server checks the conditions again when you act.

Onsite latex schedule

Private owner plan. Codes do not create accounts, enrolment or permission to work. Up to 16 workstations, 128 slots, 100 saved versions and 9 judges per slot. Each slot: up to 24 hours; whole plan: up to 31 days.

How do I plan a private schedule?
  1. Create a private onsite-latex plan with nominations and regulations. Open its schedule as the owner.
  2. Add workstations and slots. Enter start and end in UTC, choose a nomination and assign codes. Use one code per person across all roles.
  3. Save a new version. The server checks workstation and person-code overlaps; cancelled slots reserve no resources. If versions conflict, compare your preserved form with refreshed data. Refreshing from the server preserves your form fields. “Load saved version” explicitly replaces them.
  4. Use history to base a new version on an earlier one. Print or download a confirmed copy with plan ID, version and hash. After a lost reply, check the command or retry it without changing its data.

Before you startEnter times in UTC. The selected zone changes only how the saved plan is displayed. Detailed private onsite-latex plans only. Publication, enrolment, human procedures, QR check-in and offline sync are not included. A copy or hash does not establish professional approval.
